A fair and transparent approach to pricing
At Facilitate OT Services, we off expert Allied Health services, provided by experienced and qualified health professionals.
Our fees are based on the time it takes to actually complete a task for you – not on a fixed price for a ‘job’. This is the fairest approach – to bill for the time actually taken.
We understand that accessing occupational therapy and other Allied Health Supports can be costly, and we do what we can to reduce financial barriers while still delivering a high-quality service.
We value our skill and experience and will never compromise the quality of our service in order to meet pricing limitations set by external funding agencies. We work with you to find a structure that supports both your goals and your budget.
Our current Fees are as follows:
Occupational Therapist (OT) – $220 per hour
Allied Health Assistant (AHA) – $110 per hour
We review our rates annually, and adjust fees in line with CPI and industry standards.
We provide 14 days-notice of any increase in fees and do our best to ensure you receive this in writing.
In some cases, GST is applied to Report Writing and Case Management services.
GST cannot be applied to NDIS services, as per NDIS Guidelines.
Therapist and AHA travel is charged at the full hourly rate – travel to your location is about more than just convenience – it an important part of our therapeutic approach, to ensure our interventions consider your unique environment, as is required by Best Practice approach.
We charge for all time spent delivering services, which includes non-face-to-face work (see table below for more information).
AHA services may included in our intervention, whenever appropriate. AHA services are charged at a lower rate than OT services, and so costs to the client are reduced. All AHA activities are delivered under the guidance and direction of the treating OT.
Discounts may be available for:
- Private clients where cost is a barrier
- NDIS participants, to align with the significantly lower NDIS price caps.
If cost is a barrier to accessing services, please speak with our administrative team — we may be able to offer a discounted rate or a payment plan, dependant on individual circumstances.
Funding Schemes Available
We provide services under the following funding arrangements:
Insurance Schemes – with approvals in place:
Lifetime Care and Support Scheme – LTCS (icare)
Worker’s Care (icare)
Dust Diseases Care (icare)
CTP Insurance (various insurers)
Department of Veteran’s Affairs (DVA) – a referral from the Treating GP is required.
Private contracts / agreements:
If a GP Management Plan is in place, a Medicate Rebate may be available; or, Rebates may beavailable from a Private Health Fund.
In all cases, Full payment is required at time of service, and a receipt is provided for submission to Medicare or Health Fund.
Note – these Rebates do not cover the full cost of service – a gap payment will apply,
Clients are encouraged to check with their Treating GP and / or Private Health Fund regarding these rebates and subsidies before pursuing OT services, to ensure costs are understood.
Home Visits and Travel
Occupational Therapy recognises the significantly improved outcomes that come from working with you in your own environment – home / work / school visits help us tailor strategies and recommendations to fit your space, routines and real-life needs. Travel to the home, school or workplace is charged at the full hourly rate, as it is an essential part of our service; where possible, we coordinate visits with other clients to share travel costs.
- Some OT intervention require us to assess your home / school / work environment:
- Often equipment needs to be trialled in the home/work/school to ensure that it is appropriate.
- Modifications to your environment cannot be completed without assessment of the home environment.
- Daily living skills training programs often require therapy within the home or school environment to allow consideration of environmental factors, and support the transference of skills into your daily life and routine.
Cancellations
Cancellations with less than 48 hours’ notice will be charged at the full fee.
How We Work
We offer flexible service delivery options, including:
- Face-to-face appointments
- Telehealth sessions
- Phone consults
- Hybrid models, to reduce travel time and cost
We charge for all time spent supporting your goals. Please review the following examples of non-face-to-face work we provide to better understand how these services support our intervention to assist you with meeting your goals.
Initial Assessment Process
Our standard initial assessment process is 7 hours (plus travel). This time cover the following activities:
- File and report review.
- Liaison with other providers.
- Carer or client questionnaires via telehealth.
- Assessments (home, clinic, school or workplace).
- Travel.
- Development of a recommendations list.
Your personalised recommendations list will outline:
- The goals we discussed
- Our recommendations
- The estimated time we anticipate will be needed to work toward each goal
You will then have the opportunity to choose what to prioritise based on your needs, timeline, and budget and we will draw up our next service agreement.
Ongoing Occupational Therapy Process
We request approvals in order to focus on specific goals. This provides a flexible and goal-focused approach – you tell us what you’d like to work on, and we’ll provide an estimate – based on our clinical experience – of how much time we think it may take to work towards each goal. This estimate is a quote only and is intended as a guide to support planning.
Please note that we continue to bill for the actual time taken to provide services, as recorded in your session notes and reports. Once the estimated approval is completed, we’ll review your progress together, in order to track progress towards your goals.
Tracking and Communication
We aim to complete goals within the estimated time. If this changes, we will always communicate with you and work out a plan together.
We are available Monday to Friday. We do not operate on weekends or on Public Holidays.

What Happens If You Don’t Pay Your Invoice on Time?
We understand that things come up, and sometimes payments can be missed. If this happens, here’s what you can expect:
- Reminder Notices: If an invoice isn’t paid by the due date, we’ll send a friendly reminder via email or text message.
- Follow-Up: If payment is still outstanding after 14 days, we’ll follow up with a phone call or written reminder to discuss any issues or questions you may have.
- Service Suspension: In some cases, if an account remains overdue beyond 30 days, we may need to place services on hold until the outstanding balance is resolved.
- Ongoing Issues: For long-term unpaid invoices or repeated non-payment, we may need to refer the matter to a debt collection agency or discuss alternative funding or service arrangements.
